Access to PPS is granted based on submission of a signed PPS Access/Change Application, a PPS Departmental Organizational Structure Form describing the division of the roles and responsibilities for payroll transaction processing, and attendance in the required courses. PPS classes are taught in a series over three consecutive days, and are scheduled once per month. Registration is done through Staff Development & Professional Services (SDPS). This hands-on lab course combines lecture, discussion and exercises to introduce the Payroll Personnel System (PPS) to PPS Preparers and Reviewers. Class participants will acquire knowledge of how to access PPS, responsibilities of system users, and how to navigate the system. This course is required for new PPS Preparers and Reviewers whose responsibilities include online PPS entry update and is part of core PPS training. It is intended to be an introduction to the payroll system and is required before taking the PPS lab. **Only employees who will be responsible for PPS/OPTRS administrative functions/transactions will be allowed to take this class due to the confidential information demonstrated in the class.
This lecture course reviews relevant payroll policies and procedures, basic payroll forms, time reporting processes, terminology, calendars, and input schedules. The roles and responsibilities of preparers and reviewers will be included. This course also includes an introduction and overview of PPS inquiry screens and their usage. This course is required for all PPS Preparers and Reviewers whose responsibilities include online PPS entry of personnel transactions and is part of core PPS training. This hands-on lab course is recommended for all PPS Preparers and Reviewers and provides an overview of PPS, reviews accountability, security, navigation, inquiry, on-line entry and PANs. Because of the confidential nature of the information in the Payroll/Personnel System, only employees who will be responsible for PPS/ OPTRS administrative functions/ transactions will be allowed to take lab classes. This course combines lecture, discussion and exercises to cover relevant benefits policies and procedures and is required for all PPS Preparers and Reviewers. Topics include procedures for editing benefit data in PPS, general regulations, benefits eligibility level indicator (BELI) code, status qualifier code, covered compensation limit, retirement, and FICA.
This lecture/ discussion course reviews relevant policies and procedures applicable to Graduate Studies and Academic transactions. This course is required for PPS Preparers and Reviewers with responsibility for Graduate Studies and Academic transactions. Topics include application of Graduate Studies P&P, what to look for, useful information, eligibility checklist, petition for exception to policy, and web sites.
This lecture/ discussion course reviews relevant staff personnel policies and procedures and is required for PPS Preparers and Reviewers with responsibility for staff personnel transactions. The course covers personnel policies that are applicable for entering staff transactions, including employee relations units and codes, leave codes, probationary periods, next salary review dates, merit programs, leaves of absences, and "Indefinite, but not later than…" statements.
This is an online PowerPoint course. In order to effectively administer the academic personnel process, it is critical to have a broad understanding of the academic mission, key principles and philosophies of the University of California. Participants will gain an understanding of issues such as joint governance and peer review, delegation of authority, Senate and Federation faculty roles and processes, and roles of administrators, faculty, and staff in the academic personnel process.
This lecture/ lab course is required for all OPTRS Preparers and Reviewers. PPS Payroll Policy & Introduction is required prior to taking this course. Because of the confidential nature of the information in the Payroll/Personnel System, only employees who will be responsible for PPS/ OPTRS administrative functions/ transactions will be allowed to take lab classes. This lab covers online payroll time reporting processes, the how, when and why of completing payroll time reporting worksheets including current payroll time reporting, adjustment worksheets, payroll one-time payments, and payroll expense transfers. It also includes a review of basic payroll terminology, calendars, and input schedules as well as the roles and responsibilities of preparers and reviewers.

This hands-on lab combines lecture, discussion and exercises. Participants will learn what is expected of reviewers and just what they should be looking for in a PAN. They’ll receive checklists that can use for reviewing transactions, work through exercises that demonstrate how to review a transaction in both the web-based system and in email notifications, and understand how their review of a transaction fits into the big picture. We’ll also discuss the accountability role of Reviewers and the Departmental Organizational Structure form.
